Lately, I’ve been hearing from some security guard companies that they have stopped requiring their officers to use their Daily Activity Report (DAR) software to do DARs. At first, I was a little taken aback, but I get it. DARs take time, they can be hard to read, and reviewing dozens each day is no small task.

But I want to be clear: DARs are not busywork. In my opinion, they’re one of the most important tools we have for professionalism, communication, and liability protection. And with today’s daily activity report software, they’ve become easier and more valuable than ever before.

I am also hearing from these companies that, because they use tour-tracking systems, officers don’t need to do DARs. That’s where daily activity reports come in. They tell the story of the shift: who came and went, what looked suspicious, and what actions were taken. For example, if an officer notes that someone left with a large brown box and weeks later, laptops are discovered missing, that single DAR entry becomes vital. Tour tracking alone would never catch that.

When used properly, especially when organized with daily activity report software, these notes create context that can’t be replicated by tour tracking data alone.

Every client expects their security officers to serve as their eyes and ears. Daily Activity Reports give clients insight into what’s happening on-site when they’re not there.

When I met with the security officer, she told me about the conversation she had with the property manager and asked me to check her DAR. After I reviewed the DAR, her notes clearly stated she had followed the client’s own instructions, and that single report likely saved our contract.

I understand the concern some companies have about providing their clients with their officers’ DARs, which is why most companies feel the need to review the reports. But reviewing dozens of reports every single day can feel like an endless, thankless task, especially when many are incomplete, repetitive, or filled with small details that don’t seem to matter in the moment. I’ve been there. I remember sitting at my desk late at night, flipping through report after report, trying to make sense of what actually happened during a shift. Some reports were excellent and detailed; others looked like they were written in a rush; others included charming additions like coffee cup stains. It’s easy to see why some companies eventually decide that DARs just aren’t worth the effort.

A simple note about a door left unlocked, a suspicious person loitering near a loading dock, or a vehicle parked in an odd spot might seem routine until that note becomes a key piece of evidence in a theft investigation or liability claim.
